The same five steps as the checklist on your dashboard, with the reasoning behind each one.

1. Add your first client

A client is one of your own customers — the organization whose software licenses you're reconciling. Everything else (invoices, rosters, reconciliation results, reports) is scoped to one client at a time, so this is the first thing to create no matter which vendor or roster source you start with.

2. Upload an invoice

Reconlio auto-detects the vendor from the invoice itself — no need to tell it which one. Today that covers Microsoft 365, Google Workspace, Bitdefender, SentinelOne, Datto, Proofpoint, Adobe, CrowdStrike, and Acronis.

On the free trial, this is the one invoice it covers — uploading a second invoice needs a paid plan. There's no expiry on the trial itself, so there's no rush to decide.

3. Run reconciliation

This is the step that compares what the invoice bills against who's actually using the license, by matching invoice line items to your client's roster. The output is a list of findings — see the glossary for what each finding type means and what to do about it.

Re-running a reconciliation replaces the previous result rather than adding to it, so fixing something and re-running won't double-count savings you've already captured.

4. Download your savings report

A PDF summary of every finding, with a recommended next action for each one — the same action shown in the dashboard table (remove, ask the vendor for an assignment export, or check whether someone needs a seat). It's built to hand to whoever signs off on the client's software spend.

5. Invite a team member

Bring in a colleague from Settings so more than one person can work a client's reconciliations.

Keeping a roster current

A roster can be a plain CSV upload, re-uploaded whenever it changes, or a live connection to the client's own Microsoft 365 or Google Workspace directory — which syncs automatically instead of needing a manual re-upload.
